Paid Internship: 3 Project Coordinators at the FEDEC in Brussels – Belgium

FEDEC – European Federation of Professional Circus Schools

Founded in 1998, the European Federation of Professional Circus Schools (FEDEC) is a network of 55 members: 42 professional circus schools and 13 circus arts organisations located in 26 different countries. FEDEC’s main vocation is to support the development and evolution of pedagogy and creation in the field of circus arts education.
The FEDEC team is comprised of a full-time General Coordinator, a Project Coordinator and an Administrative, Communication and Service to members Officer. The FEDEC team is a highly dynamic group of individuals, combining professionalism and passion with a rigorous and analytic approach to work, oriented toward results that are useful to the network members and their partners. The FEDEC culture is one of mutual support and dynamism.
The FEDEC is currently looking for a full-time project coordinator intern for a period of 6 months (from 2 September 2013 to 28 February 2014)
DescriptionIn collaboration with and under the responsibility of other team members, your mission will be first to assist the FEDEC secretariat in its daily activities and strategic objectives through practical tasks of project and event management: regular meetings, administrative assistance, communication and information tools, and services to members. You will work under the direct supervision of the project officer.
1. Project assistant
(in coordination with the project officer)
CIRCLE project (artistic encounters between FEDEC schools’ students):
CIRCLE at Circa (Circa circus festival in Auch, France, October 2013)
Tasks:
- Support with practical organisation matters (contact with on-site partners, follow-up with participants’ requests, communication with the Circa festival team);
- Support with development/finalisation of CIRCLE documents (guides, roadmaps, calendar of activities…);
Cooperation with the festival team (on different levels, depending the priorities and requests);
- Support with all project’s communications activities (performances presentations brochure, CIRCLE webpage on the FEDEC website, pictures selection) before, during and after the event;
- Support with all post-event activities (meetings, reports, communication with participants and festival…). ESCALES project (study, charter and agreement on the mobility of circus arts students)
- Support with : finalisation of the survey, proofreading, coordination of interviews with different target groups, organisation of information for the associated expert to help prepare the data analysis.
INTENTS project (definition of the profession of professors and their competencies, and professor’s training engineering) (to be confirmed)
If the project is accepted, the intern will help with the preparation of information and coordination document and the development of a contact database for partners and participants;
Support with organisation of the kick-off meeting during the Internal Conference in Auch;
Contact with people to be interviewed by the project’s associated experts during the events in Auch;
Support with the elaboration and dissemination of a call for participants for the first session of continuous training, to be organised in London in 2014.
2. Support for statutory meetings and financial management of FEDEC
(in coordination with the administration and communications officer, and the project officer)
Tasks:
- Support with preparation and mailing of invitations to the Managing Board (MB – meetings in September and October 2013) and the General Assembly (GA – meeting in October 2013) members;
- Support with elaboration of the set of documents (readers) for the Board and General Assembly meetings (layout and dissemination);
- Support with practical organisation of the MB and GA in the framework of the FEDEC Encounters at Circa (October 2013);
- Follow up of attendance rates, management of proxies and contributions of members in-kind for each meeting;
- Note-taking during meetings (focus group meetings, meetings with students), minutes, coordination of proofreading and translation after approval by the project coordinator;
As needed, general administrative support for the association (post, archives, phone lines, secretarial tasks…).
3. Assistance for the Jean Monnet annual grant application 
(in coordination with the general coordinator, the administration and communications officer, and the project officer)
Tasks:
- Participation in the redaction of parts of the FEDEC annual report 2013, in collaboration with the project officer and the administration and communications officer;
- Participation in the proofreading process and the layout on the annual grant application activities programme.
Professional experience and knowledge
- Master degree or specialised Bachelor degree and professional experience;
- Proven experience in project management and reporting in European projects, preferably within European networks;
- Experience in the field of education and training, or the Leonardo Da Vinci programme would be an asset;
- Knowledge and experience in the management of associations (organisational and statutory issues) or fast learner;
- Very good command of communication tools (Excel, Word – layout and mailing, Power Point);
- Fluent in French (native French speaker level) with a very good both oral and written level of English.
Qualifications and skills of “how to be” in the workplace
- Methodical, having organisational skills, knowing how to prioritize and plan diverse tasks. Rigor and respect of deadlines;
- Ability to work independently within a small team, ability to work with a Managing Board in several European countries and worldwide;
- Analytical and writing capacities;
- Ability to take into account the financial and budgetary data and develop working relationships with external providers;
- Excellent interpersonal and communication skills;
- Ability to assimilate, classify and disseminate information on different subjects and for different audiences/target groups;
- Pro-active, persistent, organised and results and networking oriented;
- Motivated, flexible and working in a collective manner;
- Being autonomous, be a fast learner, having a positive attitude towards projects;
- Direct, knowing how to clearly communicate his/her difficulties and pro-active in solving them;
- Interest in arts education and creativity in the framework of a European network, and interpersonal skills necessary to the work in a multinational context;
- Taste and availability for occasional travel in Europe.
